Designing
workflow is an art as well as a science. The art shows up in
the intelligent and user-sensitive workflow designs, along with the
development and creative use of highly configurable products.
To meet the workflow and Business Process Management needs of
our clients, AMI uses Stellent core software and draws upon a
suite of workflow integration tools developed by AMI.
Development
of the AMI Workflow Suite began several years ago when AMI
started to focus on Business Process Management. Some
customers needed simple ad hoc routing while others
needed complex system-to-system automated processing. AMI
quickly determined that it made sense to develop configurable
products that could easily handle very complex situations. The
products have been continually enhanced to make them more
usable and more powerful. Here are key elements of the AMI
Workflow Suite:
WorkBase™
WorkBase is a robust and high-powered workflow form. Users
interact with this form to conduct their work and gain improved
processing time by using the following features. WorkBase offers:
· Task
Trees, which present a multi-level structure to handle not
only simple, but also extremely complex business processes
- a
mechanism to drive where the package goes next based on
decisions made by the user
- a
powerful training and cross training tool
· Information
about where the package came from, why it was
received, and how the user should handle it
·
Dynamically-set form characteristics, including Task Trees,
routing choices, logging behavior, and others
WorkBase
Manager™
WorkBase Manager is used to configure WorkBase with no programming
experience required. WorkBase Manger dictates how WorkBase is displayed by using:
· Reusable
profiles so the same settings can be used by more than
one queue
· Copy and
Paste of profiles to reuse configurations
· Detailed
audit tracking configurations about the activity of a
package on a per queue level
· Easily
set “next” queues to which a user can route – can be
across any subflow or process
· A variety of
task automations to create customized Task Trees for
each step of the workflow process
DynaControls™
and DynaForms™
DynaControls and DynaForms (DFC) are used to program and
maintain code in one location rather than in separate forms.
The advantages of using DFC:
· Allows
AMI’s workflow clients to code their own custom forms to
be called by WorkBase
·
Centralizes “reusable” code into one location
· Provides
“virtual” and “customizable” forms for each department
to use
Record
Activator™
Record Activator provides for sophisticated and
automated handling of the relationship between the storage
system and workflow. Record Activator can create and update
workflow packages via various inputs:
· Images
and universal documents
· The
content of mainframe or text file records in any local or
network directory
· A record
within any number of ODBC databases
Uses
of Record Activator:
· Reusable
processing steps to maintain the workflow system
· Qualifies
the values of the input source to determine what
processing steps (actions) it should complete
Email
Collator Assembler™
Email is a powerful tool that can be used within workflow
processes. With Email Collator Assembler (ECA):
· It is not
necessary to have email on the user’s desktop
· A local
or network directory can be monitored for input text files to
dynamically create the requested email with any dynamic
information provided with the text file
· SMTP-based
requests can be submitted to an existing email
server, including Lotus Notes
WordAgent / Word Document Collator™
WordAgent provides an automated mechanism for running the
Word Document Collator (WDC) engine. WDC is a sophisticated
document creation program. These two programs work together
to:
·
Dynamically populate a single Word template or many different
Word templates to form a single Word document
·
Optionally display, print, and/or store documents
FeederAgent™
FeederAgent provides an automated mechanism to request other
systems to perform actions based on a business calendar timeline.
FeederAgent provides requests to:
· feed Record
Activator to assist in maintaining the workflow
system
· Send
emails through Email Collator Assembler to notify recipients
of arriving work or status of the work within the process
Project
Methodology
Project provides a mechanism for separating workflow process
configurations so additions and updates can be made in one workflow
without affecting the configurations in other workflows.
Project integrates with the AMI Worklfow Tools:
· For configuring, saving, and loading data within the
workflow
tools
· To handle multiple departments with workflow processes in
various
stages of test, development, and production environments
